Credential vault

Client logins stop living in a notebook

Your business is trusted with logins to your clients' tax accounts, registries and banks. That is either a responsibility with a record, or it is a liability.

  • Credentials encrypted at rest, structured per portal type so each one asks for the fields it actually needs
  • Every reveal is recorded against a name and a reason
  • The vault page deliberately does not list passwords — a credential is read one at a time, on the client it belongs to
  • Flags logins that are locked, out of date, or were never handed over
  • Revealing a credential is a granted permission, not something every account has

Compliance work

Deadline-driven work that schedules itself

For firms doing statutory work, Oneesys opens the filing periods, attaches the real due date, and tracks each one from register to filed and locked.

  • Periods generated per client on that client's own frequency, from the Nepali fiscal calendar
  • VAT and withholding tax registers, returns computed with credit carried forward
  • Verified by a person, then recorded as filed with the submission reference — which locks the period
  • Annual and instalment-based income tax, statutory audit, and registry compliance
  • Generated filing report documents, watermarked as drafts until they are actually filed

Oneesys never files on your behalf.

It prepares, computes and cross-checks. A qualified person reviews and submits, and the system records the reference and locks the numbers so what was filed stays on record.

Document scanning

The register types itself. A person still signs it off.

Photograph a bill or drop in a PDF. Oneesys reads it, matches it to the right client, and writes a draft line for review.

  • Sales and purchase bills, credit and debit notes, and import declarations
  • Works out which side of the invoice your client is on before deciding vendor or customer
  • Re-reads local-calendar dates from the literal text rather than assuming a Gregorian year
  • Cross-checks taxable value, tax and total, and shows a confidence score for every field
  • Or skip it entirely — type by hand, or import a spreadsheet

It writes a draft, never a posting.

Software that quietly misreads a number is worse than typing the number. So it is not allowed to be quiet: a person confirms every line.

Open a job from a template and you get a stage ladder plus steps, and every step has an owner — your team, or the client.

  • A step you own is work. A step the client owns is a request that appears in their portal

Document library

Every file you hold, filed where you would have filed it

Anything stored anywhere in Oneesys is mirrored into one library and put away automatically. Nothing depends on somebody remembering where it goes.

Ashadh is not “around June”

Software that treats the Nepali calendar as a conversion step will eventually miss a date, and the date it misses becomes somebody’s penalty. Oneesys works in Bikram Sambat from the data layer up.

Fiscal years, filing frequencies, month-close, payroll periods and payslips all run on the Nepali month. Dates read from a scanned bill are re-parsed from the literal text rather than assumed.

Service catalogue

A service is not a label. It is the work it creates.

Switching a service on for a client schedules the periods, deadlines, recurring jobs and files that service needs, and publishes to the client what they must provide. The catalogue is yours to rewrite.

Security & confidentiality

You hold your clients’ keys. Act like it.

A client business is trusted with logins, bank access, salary data and papers no junior should browse casually. Oneesys treats those as four separate problems, because they are.

  • Encrypted at rest, short-lived links in transit

    Credentials are encrypted. Client documents sit in private storage with managed keys and are only ever reached through links that expire. There is no public URL to a client's paper.

  • Every reveal is on the record

    Opening a stored credential writes down who looked and why. It is not a setting, and the person revealing it cannot switch it off.

  • Sensitive actions are off by default

    Revealing a credential, recording a filing, issuing an invoice, generating periods, payroll and firm money are deliberate grants — per person, from a preset, or copied from a colleague.

  • Restriction that actually hides

    A restricted folder disappears from the tree, from search, from links and from downloads. A confidential document returns nothing at all, rather than a refusal that confirms it exists.

  • An audit trail you can answer questions from

    Modern password hashing, signed sessions, request rate limiting, error capture, and an activity log across the record — including who restricted what, and when.

The vault reports what needs attention and who has been looking. It deliberately never shows a list of passwords, because that screen would be worth more to somebody else than it is to you.

Straight answers

The questions we always get

Is Oneesys only for accounting and tax firms?

No. It ships configured for them because that is the hardest version of the problem — statutory deadlines, registers, filings and confidential credentials all at once.

The register, engagements, document library, billing, portal and conversations are not tax-specific. Turn the compliance modules off and you have a client CRM with real document control and a client portal. Fields, service catalogues, templates and permissions are all configuration.

Does it submit filings to the tax authority automatically?

No, and it should not. Oneesys builds the register, computes the return, carries credit forward and cross-checks the arithmetic.

A qualified person reviews and submits. The system then records the submission reference and locks the period, so the figures that were filed are the figures that stay on record.

Can we trust the document scanning?

Trust it to draft, not to post. Every field comes back with a confidence score, dates are re-read from the literal text, and a line whose taxable value, tax and total do not reconcile is refused.

Then it writes a draft for a person to confirm. If scanning is not for you, typing and spreadsheet import are first-class paths, not fallbacks.

Can one client see another client's information?

No. A client sign-in resolves to its own record and nothing else — that is how the data layer is built, not a filter somebody has to remember to apply.

Inside your business, visibility follows granted permissions, and owners can restrict document folders and mark individual papers confidential.

Several of our clients run more than one company.

That is a first-class case. One sign-in holds memberships across companies as owner, member or viewer, with a switcher for the active one.

Owners invite their own colleagues, and a client adding another company they run reaches you as a claim to approve rather than a duplicate account to reconcile.

How much work is it to move over?

Bring the spreadsheet you keep now. A multi-tab client list merges on tax number, then on normalised name, and you run it as a dry pass first to see exactly what would change before anything is written.

That same pass opens filing periods, deadlines and job files, moves any portal passwords in the sheet into the encrypted vault, requests standing documents from clients, and creates a sign-in per email address.
